Asset Linking

Summary

The Asset Linking feature allows you to automatically relate assets to objects, either on a schedule or on-demand from an Asset structure in a Browser gadget.

It works by matching parts of an asset’s name to the identifying ("Is Identifier") attributes of objects of one or more object types, then relates any matching assets by a specific Asset Relation attribute. These rules are called Asset Linking configurations.

Both these options allow you to set or change the options for an Asset Linking configuration.

Setup Object Relations

The first step is to choose which types of object you want to link assets to, and which Asset Relation to use when a match is made.

If an Object Type has its Relation Type set to "None" then assets will not be matched against objects of that type.

Setup Matching Rules

The matching rules determine how an asset's name will be used to match against identifying attributes of objects:

  • Match the first X characters after the delimiters Y—for example, with X set to 5 and the Y set to "US" the asset name 01US12345.tif would be matched using "12345".
  • Match on the characters X through Y—for example, with X set to 5 and Y set to 9 the asset name 01US12345.tif would be matched using "12345".
  • Match before delimiters X—for example, with X set to "." the asset name 01US12345.tif would be matched using "01US12345".
  • Match after delimiters X—for example, with X set to "US" the asset name 01US12345.tif would be matched using "12345.tif".
  • Match between delimiters X and Y—for example, with X set to "US" and the Y set to "." the asset name 01US12345.tif would be matched using "12345"

Then define Setup preferences:

  • Scheduled—this configuration will be run when the Asset Link schedule is run.
    Otherwise it will be inactive and will also not be run for on-demand asset linking, from the Browser gadget.
  • Add to All Languages—the asset will be linked in all the language versions of the relation for a matched object 
  • Allow Update of Single Object Relation—the asset will replace any existing values for single instance relations
    Otherwise single instance relations will not be changed. Multi instance relations will have assets added to their values.

 Schedule Asset Linking 

Select the  button to set the time of day to run scheduled asset linking configurations. At this time, any asset linking configurations marked as Scheduled will be run.

 Delete Asset Linking...

The selected Asset Linking configuration will be deleted.

 Access Rights...

Administrator users can set the access rights to Asset Linking functionality for User Groups or individual Users. These access rights apply to Asset Linking configurations in general, not to specific Asset Linking configurations.

  • Add—create new definitions
  • Edit—change existing definitions
  • Remove—remove existing definitions
  • Inherit—use the access rights from the parent group

 Refresh

Clears the Filter field.
