Workflow State Definition

The aspects of a Workflow State are:

• Name - the name of the workflow state
• Group - the Workflow Group to which the state belongs.
  Workflow Groups let you compare states in one workflow to another: states in the same group can be considered roughly equivalent.
• Owners - the Agility User Groups and Users who can access an object or attribute instance at this state.
  Users who are not owners of a state cannot edit an object or attribute instance at that state, and change its state.
• Glyph - a small image to represent the state in a browser or list of states.
• On Entering this state - actions to take when an object or attribute instance is set to the state.
  The actions are Send Email, Move Children and Move Attributes

Send Email

You can configure a state to send an email when an object or attribute instance reaches that state. This uses the email settings defined in the MAIL_SERVER_xx System Preferences.

The settings for the email are:

• To Do list - send the email to whichever users have the object or attribute instance on their To Do list.
• The following - send the email to a specific list of users and email addresses from the Address Book.
• Subject - the subject line for the email.
• Body - the body text of the email.
• Priority - the priority flag for the email.
• Insert - adds placeholder text to the Subject or Body of an email. Placeholder text will be updated when an email is sent.
  For example, the placeholder text <object_name/> will be replaced with the name of the object, so a Subject line of "<object_name/> is <new_state_name/>" might resolve as "Elbow Grease is Ready For Review".

Move Children

These are the options to change the states of child objects, the object instances immediately below the object instance whose state has changed.

Move Attributes

These are the options to change the states of attribute instances when an object enters this state.
