CUSTOMIZABLE WORKFLOWS, WORKFLOW NOTIFICATIONS, AND MORE

CXO version 24.1 offers enhancement to the Workflow functionality for increased ease-of-use , including extended the commenting functionality through annotation, an optimized mobile experience, and a new API to simplify and automate user management. and uptake. Additionally, some smaller features from our innovations portal have been addressed.

Highlights of this release include:

  • Tell the story behind your numbers with table annotations
  • Improve application usability on mobile devices
  • Manage larger user communities easily using the user synchronization API

Tell the story behind your numbers with table annotations

In CXO Version 20.3, we extended our commenting functionality by adding the Key Message. The Key Message ensures that the most important message is shown at the top of reports, helping users to review their reports quickly while focusing on the most important comments to understand the story behind the numbers.

With CXO Version 20.4, we have taken commenting to the next level by introducing Annotations for tables. With Annotations, users can add a comment into a cell of a table and CXO will display the comment below the table, in a similar manner to how
footnotes are displayed within a Word document.

So, with CXO Version 20.4, when a user opens a report to review it, they will now immediately see the Key Message at the top of that report and the annotated numbers that provide critical explanatory notes/comments underneath each table. This makes it easy for users to quickly identify the most significant numbers that require their attention.

Improve application usability on mobile devices

To create a more user-friendly experience for users working on mobile devices, with CXO Version 20.4, the application framework (the user interface surrounding reports and your financial data) is now responsive. This means the framework adapts for optimal display on different screen sizes. For example, on mobile phone screens, report titles are displayed more clearly, and it is easier to play and navigate through your Storyboards.

Furthermore, we have improved the user interface in our iOS app, with improved display capability and app performance.

This is the first phase of a larger project that will ultimately see the reports themselves becoming responsive, too.

Manage larger user communities easily using the user synchronization API

CXO already supports single sign-on to make it easy for users to access their reports. In Version 20.4, we’ve taken this one step further by introducing a new user synchronization API to simplify the management of larger user communities.

Using the new API, you can set up CXO to automatically synchronize with your organization’s user-management service (e.g., Active Directory Federation Services). This means any time a user is added to a specific group in your user-management service, they will automatically be added to CXO in the correct user group, with the correct user rights. These time gains are even greater as you expand CXO to new departments and add multiple users at the same time.

Similarly, if a user leaves your organization, when they are removed from the usermanagement service, they will also be removed from CXO. This is a big time-saver and enables CXO to be seamlessly integrated into your existing user management processes.

The new API is fully documented to make it easy for your IT team to create the integration with your user-management service.

Make your reports your own with custom font support

The default font in CXO is a tabular font, chosen to ensure that the numbers in your reports align vertically for maximum legibility. However, we know there are situations when it is important that the look and feel of your reports mirrors your corporate brand. That’s why with Version 20.4, it is now possible to upload and use your custom company font in CXO, so you can make your reports your own (click here for more information).

CXO VERSION 20.4 CHANGE LOG

  • More control with Customizable Workflow

  • Increased ease of use through Workflow Notifications

  • Improved User Group Management

  • Productivity gain through Maintenance messages

More Control With Customizable Workflows

What are CXO Workflows?

Since version 22.3.0, CXO has offered Workflows; a feature which allows customers to manage their CXO financial closing process from within CXO. With workflows, you can indicate for reports and storyboards who is responsible for adding and validating data and commentary by which date. This way, you can be more efficient as there is no uncertainty about responsibilities and due dates. Because Workflows provide information about report/storyboard completion, they also enabled the implementation of Status Indicators (see screenshot below). On each report for which the customer has a Workflow, we now show an icon which indicates whether data and commentary are ready or not. This gives end users valuable information whether a report is ready for use or now. Workflows are accessible via the CXO web application in the same way as Reports and Storyboards.

What are CXO Customizable Workflows?

One challenge with the original Workflows is that CXO predefined which five steps every workflow had to go through. Your closing processes may be slightly different than what is described in those steps. Customizable Workflows allow you to adjust the steps in each Workflow to reflect your closing process. The Status Indicator released in the first version of Workflows is compatible with this enhancement, and pre-existing Workflows will continue to work when upgrading to a new version of CXO.

Increased ease of use through Workflow Notifications

When users are added to Workflows, they already received updates via their own Workflow screen. To avoid users having to browse to workflows to see if actions are available for them, we implemented two notifications which will increase users' awareness of their need to act. Via the already existing notifications menu, a user now gets a notification when they are added to a workflow template, as well as when they have to execute a step in a workflow instance. This way, users are better enabled to meet their deadlines.

Improved User Group Management

In version 24.1.0 we have added a functionality which shows the members of a user group when managing this user group in CXO Designer. This is accessible via the new ‘Users’ tab accessible per user group. As user groups can have many members, it is also possible to export the user list to a csv file for further analysis. Detailed information can be found here: User Groups - Documentation - insightsoftware Confluence (atlassian.net)

Productivity gain through Maintenance messages

It can happen that your EPM source system is down or undergoing maintenance. As a result, you may want your CXO users to not look at the data in CXO at that time. To address that need it is now possible to set a pop-up text under System Announcements. This text will display for 24 hours when users enter CXO. More details can be found here. Please note that this is an addition to existing functionality. If you want to prevent users to look at non-finalized data, we recommend using the Draft Period functionality. Alternatively, you can set up workflows as the status indicator will show whether or not data on a report are finalized or not.
