Valuable additional written information can be communicated and exchanged via a Microsoft Word style-editor within Regular Users by using comments. There are four types of comments:

  • Point of View (POV) Comments
  • Subsidiary Comments
  • Key Message Commentary
  • Line Item Comments
  • Annotations

Roles & Permissions

A user can have rights to Read, Edit, Lock and Unlock comments. Read more about User Permissions Regarding Comments.

Narrative Key 

The Narrative Key is set in the Settings Panel and defines Dimension(s) used to store the POV comments. If the Entity, Period and Year dimensions are set to Yes, this means that comments can be saved for every Entity, Period and Year combination. Normally you set the Narrative Key value to Yes for every Dimension included in the POV.  An exception could be the Currency/Value Dimension which can be part of the POV but does not require specific comments for every different currency.  Additionally you can select whether the dimension should have Subsidiary Comments Rollup to the Parent by selecting the option RollUp for one dimension, typically the Entity dimension.

POV comments are related to the current report and the selected Point of View. These comments can be read by anybody that has access rights to CXO and the specific Point of View.


Possible actions with Comments menu: (Availability depends on user rights, read more about this in the User Roles Regarding Comments section)

  • Edit: With this action the user can open the Comments Editor and edit the comment.
  • Manage Attachments: With this action the user can attach and manage attachments.
  • Copy Children to POV Comments: With this action the user can copy the Comments entered for the Child members (child Entities) to the current level.
  • Copy Base to POV Comments: With this action the user can copy the Comments entered for the Base members to the current level.
  • Copy from Previous Period: With this action the user can copy the Comments entered in the previous period to the currently selected period.

Subsidiary Comments

Subsidiary Comments are comments that have been entered for the subsidiaries (child values) on the same report for the same Point of View. Any dimension in the POV can be set to have Subsidiary Comments by selecting a Narrative Key value of RollUp in the Report Settings. Only 1 dimension in each report can have the Narrative Key value of RollUp.

  • Copy Children to POV Comments: With this action the user can copy the Comments entered for the Child members (child Entities) to the Parent level.
  • Copy Base to POV Comments: With this action the user can copy the Comments entered for the Base members to the Parent level.

Key messages are commentary that apply to the report as whole and is displayed at the top of the report between the POV bar and the report content.

Line Item Comments

In a table or Multi-Column report, columns can be added allowing detailed comments at the level of individual line-items within a report. There is not a limit on how many characters can be typed. Line item comments appear as an added column and can be clicked into to start editing.

The Item Type set in Content Panel determines if a dimension is used to store the Line item comments. Item Type should be set as comment so that Item could be Line Item comment.

In a table or Multi-Column report, annotations can be added to allow commenting on a specific value within a report. There is no limit on how many characters can be typed. Annotations appear left of the number being commented on.
By clicking on a number in the table, the user can add or edit the annotation. Deletion can be done from the annotation section below the control. In the same section, the controls that have annotations enabled, but have no annotations yet, show a message that annotations can be added.

Show Annotations setting in the Other Panel determines which annotations (if any) are shown.

In CXO Designer, the options to choose from are the following:

  • None - no annotations are shown for this control.
  • Only for this control - only annotations that are created specifically for this control (on this report) are shown.
    These annotations are connected to a specific report, specific control, dimensions from narrative keys, and any other dimensions that identify a data point within the control (e.g. row and column dimensions in a table).
    They will never appear on other controls or other reports.
  • Shared among reports - only annotations created as shared-among-reports are shown. 
    These annotations are connected to dimensions from narrative keys, and any other dimensions that identify a data point within the control (e.g. row and column dimensions in a table).
    They may appear on other controls or other reports, since they are not bound to a specific control or a specific report.

Switching between 'Show annotations' options

Switching between these options will never delete annotations. By reverting back to the previous option, the previous annotations will be shown again.

Example:

  1. An admin creates a report with a table and Show Annotations is set to 'Only for this controls'
  2. A user adds an annotation to Actual, Taxes
  3. An admin switches the option to 'Shared among reports'
    • Actual, Taxes is not annotated, because the whole table is showing only annotations shared among reports
  4. A user adds an annotation to Net Profit, Budget
  5. An admin switches option back to 'Only for this control'
    • Net Profit, Budget is not annotated, because the whole table is showing only annotations specific for this controls. However, Actual, Taxes is again annotated.
