Report Builder
The Report Builder can build reports by reusing global (public) objects or creating his own private objects. Report Builders can build new reports or edit the reports they have created themselves.
These are the steps to create a User with the Report Builder role:
1. Create a User Group with the Report Builder role
2. Create a User and assign it to the Report Builder User Group
Report Builder Role Specifics
This is how the Design Studio looks for Report Builder:
The following menus, which are present for Administrators, are hidden from the Ribbon for Report Builder:
- Create New Template
- Menu items
- Reports
- Narrative Templates
- The entire tab Security and Navigation
- The entire tab Other
The following buttons are available, but the resulting grids are Read-Only:
- Cube Calculations – the only active buttons are Advanced, Overview (to view all cube calculations’ syntax in one window), Export and Close. The syntax for every cube calculation can be viewed separately as well.
- View Lists - the only active buttons are Advanced, Export and Close
- View Formats - the only active buttons are Advanced, Export and Close
- View Variables - the only active buttons are Export and Close
- View Palettes - the only active buttons are Export and Close
The Panel on the left side shows ‘My Report’/’Reports by Menu’/’Reports by Template’ instead of ‘Reports by Menu’/’Reports by Template’.
Please note that another new feature of release 4.3.4 is that ’Reports by Menu’/’Reports by Template’ now contain the same set of the reports. Before that all created reports were included into ‘Reports by Template’ were needed to be placed into the menu separately.
Report Builder can view already published reports
When Report Builder views the reports, created by other users (published reports), he cannot modify them. ‘Report Parameters’/’Report Dimensions’ tabs are displayed in read-only mode. In the same way he cannot modify the lists and the formats, used for such reports – only Advanced and Export buttons will be available.
Report Builder can build reports using existing lists or creating linked lists
When Report Builder decides to build a report by using the existing (public) lists, these lists will appear as read-only in the Bottom Panel (see the screenshot above). ‘Report Parameters’/’Report Dimensions’ tabs become available for modifications.
In the Report Parameters Panel an additional button ‘Linked lists’ is available for Report Builder .This button opens the same grid as the button Maintain Lists in the ribbon, allowing Report Builder to create his own lists and link them to his report.
In this grid Report Builder has the possibility to copy already existing public lists. The button called ‘Copy from SharedLists’ enables copying public lists and then modifying them for a particular report of the Report Builder.
After creating the copies of the required lists, he can apply them in this report by choosing them from the report lists fields. The lists, which belong to Report Builder will be marked with ‘<<’
Another way to create a private list is to use Create Report menu in the Ribbon and select Create a New List there:
Report Builder can create Drill-lists and Formats
For each private List, linked to his Report, Report Builder can create specific Drill-lists and Formats.
There are 2 additional buttons in the bottom of List Panel:
- Maintain Drill Lists – functions in the same way as Maintain List grid in the Ribbon, only showing the Drill lists for the current Main List. This button enables Copying Public Lists / Copy any other linked List;
- Maintain Formats – functions in the same way as Maintain Formats in the ribbon, but filtered, also adds the ability to copy public Formats and other linked Formats;
Report Builder can reuse his own previously created lists
Report Builder can reuse his own previously created lists
When Report Builder creates a copy of his own report lists (but not drill lists), this list will be copied together with all drill lists linked to it. To make the drill list be used in several reports Report Builder should create it on report level first and then copy it in any report he wants.
How Administrator can promote reports
On the left side pane Administrator has 3 tabs: Unpublished Reports, Reports by Menu, Reports by Template. Unpublished Reports section includes the reports, which were created but not published yet. These reports are sorted by the user names, who created the reports. Unpublished reports will be shaded out:
To publish a report Administrator needs to place it in the menu:
Once the report is published by the Admninistrator, the Report Builder cannot edit it anymore. If after publishing the report the Administrator decides to return it back to the Report Builder, he can do it from Reports Menu. There in "Owner" column he can specify the required Report Builder as the owner. After this the Report Builder will be able to continue working on the report:
How Administrator can promote report lists and drill lists
Administrator can make a private report list public by using "Copy to Shared Lists" button in the report list:
In the same way Administrator can copy Linked Drill Lists to shared lists. "Copy to Shared Lists" button in this case is available within "Linked Drill Lists" menu.
